Controlled Substance Inventory and Ordering

Understand DEA requirements for controlled substance inventory, ordering, and record keeping for the PTCB exam.

DEA Inventory Requirements

Pharmacies must conduct a complete inventory of all controlled substances every two years (biennial inventory). Schedule II substances must be inventoried with an exact count, while Schedules III-V may use an estimated count unless the container holds more than 1000 units.

Perpetual inventory systems track each controlled substance transaction in real time, allowing the pharmacy to know the exact quantity on hand at any moment. Any discrepancies must be investigated and documented.

Ordering Controlled Substances

Schedule II controlled substances must be ordered using DEA Form 222 or its electronic equivalent (CSOS). Only authorized individuals can sign the order form. Schedule III-V substances can be ordered through regular wholesale channels without a special form but must still be documented.

Upon receipt, controlled substance orders must be verified against the order form and packing slip. Any discrepancies should be reported to the supplier and DEA if theft or loss is suspected.
